Overview

This article explains how to share files and folders from Microsoft Teams with other Northwood Tech users. You can choose who has access and whether recipients can view or edit the shared content.

Prerequisites

Before you begin, ensure you have:

  • A Northwood Tech account.
  • Access to Microsoft Teams.
  • Access to the Team or SharePoint site containing the file or folder you want to share.
  • Permission to share files and folders.

Before You Begin

Files shared through Microsoft Teams are stored in SharePoint. When you share a file or folder, you can control who has access and whether recipients can view or edit the content.

💡 Tip: Share folders instead of individual files when collaborating on multiple documents with the same group of people.

Instructions

Share a File or Folder

Share a file or folder with other Northwood Tech users.

  1. Open Microsoft Teams.
  2. Navigate to the Team and channel containing the file or folder.
  3. Click the Files tab.
  4. Hover over the file or folder you want to share.
  5. Click the Share icon.
  6. Choose one of the available sharing options, such as:
    • People you choose
    • People in Northwood Tech
  7. Enter the name or email address of the person you want to share with.
  8. Optional: Enter a message for the recipient.
  9. Optional: Click the Permissions drop-down to choose whether recipients can:
    • View the file or folder.
    • Edit the file or folder.
    • Block downloading (when available).
  10. Click Send.

The recipient will receive an email containing your message and a link to the shared file or folder.

📝 Note: Available sharing options may vary depending on your permissions and the SharePoint site's sharing settings.
⭐ Best Practice: Grant the lowest level of access needed. Give View access unless recipients need to make changes to the file or folder.

Troubleshooting

I can't share a file or folder

  • Verify you have permission to share the item.
  • Confirm the file or folder is stored in a Team or SharePoint site you can access.
  • Refresh Microsoft Teams and try again.

The person didn't receive the sharing invitation

  • Verify you entered the correct Northwood Tech email address.
  • Ask the recipient to check their Junk or Spam folder.
  • Share the file or folder again if necessary.

I don't see the sharing options I need

  • Available sharing options depend on your permissions and the SharePoint site's configuration.
  • Contact the file or site owner if you need additional sharing permissions.

I'm still experiencing issues

  • Restart Microsoft Teams.
  • Verify your internet connection.
  • Submit a Service Desk ticket if the issue persists.
