Overview
This article explains the different ways staff, faculty, and students can join a Microsoft Teams meeting and how to configure audio and video settings before entering the meeting.
Prerequisites
Before you begin, ensure you have:
- A Northwood Tech account.
- Access to Microsoft Teams or Microsoft Outlook.
- A supported web browser or the Microsoft Teams desktop application.
- An internet connection.
- A meeting invitation, meeting link, or phone number (if joining by phone).
What Can You Do with a Teams Meeting?
Microsoft Teams meetings make it easy to collaborate with others from virtually anywhere. You can:
- Join meetings from Outlook or Microsoft Teams.
- Join using a meeting link or phone number.
- Participate using audio and video.
- Share your screen and collaborate with other participants.
- Use meeting features such as chat, reactions, and raise hand.
- Join meetings from your computer, tablet, or mobile device.
💡 Tip: You can join a Teams meeting even if you don't have a Northwood Tech account, as long as the meeting organizer allows guest access.
Instructions
Join a Meeting from Your Calendar
Use your Outlook or Microsoft Teams calendar to join scheduled meetings.
- Open Microsoft Teams or Microsoft Outlook.
- Select Calendar.
- Select the meeting from your calendar.
- Click Join.
💡 Tip: Joining from your calendar is the easiest way to access scheduled meetings.
Join a Meeting from a Link or Phone Number
If you received a meeting invitation by email or another application, you can join directly from the meeting link or dial-in information.
- Open the meeting invitation.
- Select the Join Microsoft Teams Meeting link.
OR
- Dial the phone number listed in the invitation.
- Enter the conference ID or passcode if prompted.
📝 Note: Meeting links and dial-in information are typically included in the meeting invitation or calendar event.
Join a Meeting from Chat
If a meeting is already in progress, you can quickly join from the meeting chat.
- Open Microsoft Teams.
- Select Chat.
- Open the meeting conversation.
- Click Join.
💡 Tip: Active meetings usually appear near the top of your recent chat list.
Choose Your Meeting Settings
Once you've joined the meeting, use the meeting toolbar to manage your audio, video, and collaboration tools.
Before joining the meeting, you can:
- Turn your camera on or off.
- Turn your microphone on or off.
- Select your speaker.
- Choose your microphone.
- Choose your camera.
- Select one of the following audio options:
- Computer audio
- Phone audio
- Room audio (if available)
- No audio
Then:
- Review your settings.
- Select Join now.
⚠️ Important: Verify that your microphone is muted before joining if you are not speaking. Teams may automatically mute participants in large meetings, but it's always a good idea to check.
Use Meeting Controls
The meeting toolbar allows you to:
- Mute or unmute your microphone.
- Turn your camera on or off.
- Share your screen.
- Open the meeting chat.
- Raise your hand.
- Use reactions.
- View participants.
- Access additional meeting options.
⭐ Best Practice: Mute your microphone when you're not speaking to reduce background noise for everyone in the meeting.
Troubleshooting
I can't join the meeting
- Verify the meeting hasn't already ended.
- Confirm you're signed in with your Northwood Tech account.
- Verify your internet connection.
- Try joining from the meeting link instead of the calendar.
I can't use my microphone or camera
- Verify Teams has permission to access your microphone and camera.
- Select the correct microphone, speaker, and camera on the pre-join screen.
- Restart Microsoft Teams and try again.
I can't hear anyone in the meeting
- Verify your speakers or headset are connected.
- Increase your device's volume.
- Confirm the correct speaker is selected in the Teams audio settings.
The Join button isn't available
- Refresh Microsoft Teams or Outlook.
- Verify the meeting start time has arrived.
- Restart the application if necessary.
My meeting is freezing or disconnecting
- Check your internet connection.
- Close applications that may be using network bandwidth.
- If possible, switch to a wired network connection.
I'm still unable to join the meeting
- Try joining through Microsoft Teams on the web via MyCampus.
- Install any available Microsoft Teams or Windows updates.
- Submit a Service Desk ticket if the issue persists.
