Microsoft Teams: Create and Manage a Channel

Overview

Channels in Microsoft Teams provide focused spaces within a Team for organizing conversations, files, and collaboration around a specific topic, project, or area of work.

This article explains how to create a channel, choose the appropriate channel type, manage channel members and permissions, and maintain an existing channel.

Key Information

  • Channels are created within an existing Team.
  • Channel creation and channel permissions are managed by Team owners at Northwood Technical College.
  • A Standard channel is available to all members of the Team.
  • A Private channel limits access to selected Team members.
  • A Shared channel can include people who are not members of the Team, depending on organizational settings and permissions.
  • Choose the channel type carefully because the channel type affects who can access the channel.
  • Use clear, descriptive channel names so users can easily understand the purpose of the channel.
  • Before creating a new channel, check whether an existing channel already serves the same purpose.
💡 Tip: Create a channel when you need a focused space for a specific topic, project, or work area within an existing Team. Use a clear name and description so members understand how the channel should be used.

Prerequisites

Before you begin, ensure you have:

  • Access to the Team where you want to create or manage a channel
  • Team owner or other appropriate permissions to manage channels
  • An understanding of the purpose and intended membership of the channel

Instructions

Create a Channel

  1. Open Microsoft Teams.
  2. Locate the Team where you want to create the channel.
  3. Click More options (...) next to the Team name.
  4. Select Add channel.
  5. Enter a descriptive Channel name.
  6. Enter a Description to explain the purpose of the channel.
  7. Select the appropriate Channel type.
  8. Configure the channel membership and access, if prompted.
  9. Click Create.
📝 Note: Available channel types and membership options may vary depending on your Microsoft Teams environment and permissions.

Choose a Channel Type

Standard

Standard channels are available to members of the Team and are appropriate for most general collaboration.

Use a Standard channel when the work should be accessible to the Team as a whole.

Private

Private channels limit access to selected Team members.

Use a Private channel when the content or collaboration should be restricted to a specific group of Team members.

⚠️ Important: Use Private channels only when restricted access is necessary. A Private channel should not be used simply as a way to organize topics within a Team when all Team members should have access.

Shared

Shared channels can allow collaboration with people who are not members of the Team, depending on your organization's configuration and permissions.

Use a Shared channel when people outside the Team need access to the channel without necessarily becoming members of the entire Team.

Manage Channel Members

  1. Open the Channel you want to manage.
  2. Click More options (...) next to the channel name.
  3. Select the available option for managing the channel or its members.
  4. Review the current members and access.
  5. Add or Remove members as needed.
  6. Save your changes, if prompted.

Manage Channel Permissions

  1. Open the Channel you want to manage.
  2. Click More options (...) next to the channel name.
  3. Open the channel management or permissions options.
  4. Review the current access and membership.
  5. Make the necessary changes.
  6. Save your changes, if prompted.
📝 Note: Channel permissions and membership options depend on the type of channel and your access. If you do not have the option to make a change, contact a Team owner.

Rename a Channel

  1. Locate the Channel.
  2. Click More options (...) next to the channel name.
  3. Select the available option to Edit or rename the channel.
  4. Enter the new channel name.
  5. Save your changes.

Maintain a Channel

Team owners and other individuals with appropriate access should regularly review channels to ensure they continue to support the intended work.

Consider the following when maintaining a channel:

  • Use a clear and descriptive channel name.
  • Keep the channel description current.
  • Review membership and access when responsibilities or projects change.
  • Remove access when users no longer need it.
  • Avoid creating duplicate channels for the same purpose.
  • Use existing channels when they already meet the need.
⭐ Best Practice: Before creating a new channel, review the existing channels in the Team. A clear channel structure makes it easier for members to find information and helps prevent unnecessary duplicate channels.
