Vehicle Driver Approval and Reservation Process

Overview

Employees and approved student drivers must complete the Motor Vehicle Record (MVR) approval process before operating a Northwood Tech fleet vehicle. Once approved, eligible individuals may reserve vehicles through the appropriate reservation process.

Key Information

  • Driver approval is required before operating a Northwood Tech fleet vehicle.
  • Employees must submit a Motor Vehicle Record (MVR) Packet to Talent & Culture.
  • MVR reviews may take up to three (3) business days to process.
  • Once approved, employees will receive access to reserve vehicles in 25Live.
  • Students may be approved to drive a fleet vehicle but cannot reserve vehicles directly in 25Live.
  • Student reservations must be completed by an advisor, Student Life Coordinator, or other authorized employee.
  • Driver eligibility is reviewed annually.

Details

Employee Driver Approval

  1. Complete the MVR Packet
  2. MVR Review
    • Talent & Culture will submit the information for review. Processing may take up to three business days.
  3. Approval Notification
    • If approved, you will receive an email confirming your eligibility to drive a Northwood Tech vehicle.
    • Conference & Event Management (CEM) will then update your permissions in 25Live.
  4. Reserve a Vehicle
    • Once your access has been updated, you may reserve a vehicle through 25Live.

Student Driver Approval

  1. Complete the MVR Packet
  2. MVR Review
    • Talent & Culture will review the submitted information and determine driver eligibility.
  3. Approval Notification
    • If approved, the student and requestor will be notified.
  4. Vehicle Reservation
    • Students do not have direct access to reserve vehicles in 25Live.
  5. Reservations must be completed by:
    • An Advisor
    • A Student Life Coordinator
    • Another Authorized Employee
  6. Written approval from Talent & Culture must be maintained for approved student drivers.

Annual Driver Eligibility Review

Talent & Culture conducts annual Motor Vehicle Record reviews for eligible drivers.

The annual review includes:

  • Employees required to drive as part of their position
  • Selected employees receiving mileage reimbursement
  • Individuals who reserved fleet vehicles during the previous year

Employees whose driving records require follow-up will be contacted directly by Talent & Culture.
